This policy explains how Fernwood Garden Design & Landscaping (“Fernwood”, “we”, “us”) collects, uses and protects personal information when you visit our website, contact us, book a visit or become a client.
1. Information we collect
Information you give us: your name, email address, phone number, garden address or postcode, the service you’re interested in, preferred visit dates and times, and anything you tell us about your garden in forms, emails, calls or reviews.
Information collected automatically: basic, anonymised analytics about how the website is used — pages visited, device and browser type, and approximate location — gathered through cookies and similar technologies.
2. How we use your information
We use your information to respond to enquiries, arrange and carry out site visits, prepare quotes, deliver and invoice the work you ask for, send service reminders and aftercare advice, and — only if you have opted in — send our monthly seasonal newsletter.
We also use anonymised website data to understand which pages are useful and to improve the site.
3. Legal basis
We process your information to take steps at your request before entering a contract (such as quoting), to perform our contract with you, to meet legal obligations such as keeping tax records, and on the basis of your consent for newsletters and non-essential cookies.
4. Sharing your information
We never sell your personal information. We share it only with trusted providers who help us run the business — for example our website host, form and email tools, accounting software and payment processors — and only as far as needed. They are required to keep it secure and use it only on our instructions.
5. How long we keep it
Enquiries that don’t lead to work are deleted after 12 months. Client records are kept for up to 6 years after the last job to meet tax and accounting requirements. Newsletter details are kept until you unsubscribe.
6. Reviews and photos
If you submit a review, we may publish your first name, general area and the review text on our website. We only publish photos of your garden with your permission, and never show your house number or street name.
7. Cookies
We use essential cookies to make the site work and, with your consent, analytics cookies to understand how it is used. You can change your choice at any time in your browser settings.
8. Your rights
You can ask us to show you the information we hold about you, correct it, delete it, restrict or object to how we use it, or send it to you in a portable format. You can also withdraw consent for newsletters at any time using the unsubscribe link. To make a request, email privacy@fernwood.com.
9. Keeping your information safe
We use reputable, secure providers, limit access to staff who need it, and protect our devices and accounts with strong passwords and two-factor authentication.
10. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
